Like to Help
The auction would not be possible without the support of many volunteers. Thank you to all those who helped make our fall auction a success. It was great to see so many dedicated and caring volunteers working together to help support education and our students.
If you are interested in volunteering, donating supplies, donating an item, or would like more information; contact the auction chair Juli Gifford at jagiff@hotmail.comVolunteering is a great way to meet other parents, have some fun, learn more about the auction, and support the school. Also, keep in mind the old adage "many hands make light work"
Donate Baskets and Supplies
Please make donations of the following items during the month of April in the baskets located outside the front office. These donations help to keep our expenses down. Thank you for your generosity. We need:

Spools of Cloth Ribbon - 1/2" to 2" wide (wired is a bonus)

Bags of Paper Shred - no plastic Easter grass

Gently Used or New Baskets - minimum bottom base 10-12" (no Easter baskets)
Time frame and brief description of some auction activities:
Early planning activities

Activities a few months before the auction

Contact and find volunteers to help with the early auction activities.

Contact businesses for item donations.

Plan for auction catalog and item numbering.

Plan for publicity.
-
Define plan for receiving, storing, and categorizing incoming items.

Collect and categorize donated items.
Create gift baskets and group smaller items.
Add items to auction catalog and web site.
Create/update auction poster.
Plan and coordinate publicity.
Start planning auction day activities (e.g., bank, tables needed, rooms, number of volunteers needed, etc.).
Define auction day food/catering plans.

Activities prior to auction

Activities a few days before and day of auction

Print and distributed the auction catalog.

Create signs for the day of the auction.

Continue collecting and categorizing items.

Continue auction catalog and web site updates.

Ensure all publicity activities are in place.

Plan for auction items to be transported to school and pre-auction set-up.

Define auction day activities and volunteer needs.

Ensure we have enough volunteers.

Day before the auction: transport all items to school and set up the rooms and tables.
Many volunteers are needed the day of the auction to:
-
Help monitor silent auction rooms.
-
Help close out silent auction rooms (record winning bid, box up items, transport items to "pick-up" room.

Help in "bank" to distribute auction numbers, coordinate bid sheets, and handle payments.

Help with live auction (display and transport items).
-
Help in item "pick-up" room to organize items as they come in from closed silent auction rooms and/or gather and distribute items as people pick up purchased items..
-
After the auction: clean up, take down tables, restore rooms to normal state, etc..
